WPML provides two levels of notification control: per-user settings that apply to individual translators, and global settings that apply across all users.
Notify Translators of Pending Translation Jobs
WPML automatically notifies translators by email when a new translation job is waiting for them. This built-in notification system ensures translators stay updated on their pending tasks and helps maintain efficient workflows.
To customize notification settings for a specific translator:
- Go to Users → All Users in your WordPress admin area.
- Edit the relevant translator user profile.
- Scroll down to the WPML Translator Settings section.
- Update the Notification emails checkbox to enable or disable email notifications for that user.

Configure Global Translation Notification Settings
In addition to per-user settings, WPML provides global notification options that apply across all users. Access these at WPML → Settings → Translators → Notifications.

Notification Emails to Translators
- Notify translators when new jobs are waiting for them: When enabled, WPML automatically sends an email to a translator whenever new jobs are assigned to them.
- Limit number of jobs included in the email to: Controls how many jobs are listed in each notification email. Options are: Send all, 5, 10, 15, or 20. Limiting this can keep notification emails manageable for translators handling large volumes.
- Include XLIFF files in notification emails: When enabled, WPML attaches XLIFF files for the pending jobs directly in the notification email. This is useful for translators who work with external CAT tools.
- Notify translators when jobs are removed from their queue: When enabled, translators receive an email whenever a job is removed from their queue, keeping them informed of any changes to their workload.
Notification Emails to the Translation Manager
- Notify the translation manager when jobs are completed: When enabled, the Translation Manager receives an email summary of completed jobs. Frequency can be set to: daily or once a week. The “Immediately” option is no longer supported and is being deprecated.
- Notify the translation manager when jobs are late by X days: When enabled, the translation manager receives an alert when a translation job has not been completed within the specified number of days. The default threshold is 7 days.
Notifying a Specific Translator About a Specific Job
Currently, WPML does not support sending a targeted email notification to a specific translator when a particular translation job needs review. A feature request was already submitted and will be considered for implementation.
